PT administrative assistant
Cheyney University seeks a part-time Administrative Assistant 1 for the Small Business Enterprise (SBE) Supportive Services Center in the Department of Economic & Workforce Development. The incumbent in this position is responsible for performing a wide variety of important duties to support the functioning of newly established office. This position is responsible for providing data and administrative support to include client services, reporting and office processes. This position requires strong computer application skills, database development skills, effective communication and organizational skills, project management skills and the ability to work independently and cooperatively with faculty and staff. The person in this position must be able to manage multiple priorities and meet established deadlines. This employee will be a part of the AFSCME collective bargaining unit and will be expected to work 20 hours per work at $18.08/hr.
·Coordinates and provides administrative support for the Project Coordinator of the SBE and related activities.
·Answers and screens incoming telephone calls and refers callers to appropriate offices, handles information requests as appropriate, and greets visitors.
·Composes and prepares various documents in the form of letters, memorandums, reports, spreadsheets, forms, schedules of meetings and records. Drafts routine correspondence; takes notes and transcribes minutes; proofreads typed material for grammatical, mathematical, and spelling errors; and types and processes Agency Purchase Requests, work orders, and requisitions for supplies and equipment, and other documents requiring office procedural knowledge.
·Schedule and confirm meetings, appointments, special events, travel and lodging arrangements for SBE.
·Processes and monitors budget transactions for various cost centers through SAP administrative/financial management system.
·Collects and analyzes various information for preparing reports, records and schedule of meetings and events. Gathers resource materials.
·Processes and distributes various forms, reports, records and documents.
·Works with Project Coordinator to ensure that forms and applications for continued program funding are submitted in a timely matter.
·Develops and maintains appropriate filing and recordkeeping system.
·Insures the mail delivery schedules are punctual and mail is processed in the most efficient and expeditious manner. Prepares mail requiring special handling in accordance with postal regulations. Maintains a mail log database.
·Operates and maintains various office equipment in performing job duties and responsibilities (i.e., computer, typewriter, telephone, copy machine).
·Performs duties as assigned.
EDUCATION & TRAINING
Ability to use Microsoft office and related software. This position is classified as an Administrative Assistant and therefore the successful candidate will have strong administrative skills. Such training as may have been gained through graduation from a four year college or university; or any equivalent combination of experience and training. Experience working in a start-up program is highly preferred.
